Christmas Party Checklist: What to Sort First

A practical christmas party checklist covering dates, numbers, dietary needs and deposits so your festive booking goes smoothly.

Christmas Party Checklist: What to Sort First

The festive season sneaks up on everyone. One minute you are enjoying the last of the summer, the next you are the person who has somehow been volunteered to sort the Christmas do. Deep breath. It is far simpler than it looks once you know what to pin down first.

Here at Diego's Rotisserie on Bedford Place, we take festive bookings of every shape and size, from a handful of mates to a full function room. Over the years we have learned exactly what makes a Christmas party run without a hitch. Here is the checklist we would hand a friend.

Lock in the date and a backup

December diaries fill fast, and the best dates go first. Before anything else, agree a date with the people whose attendance actually matters, then have a second choice ready in case your first pick is taken.

Friday or midweek?

Fridays and Saturdays in December are in high demand, so if your group is flexible, a midweek slot often means more choice and a more relaxed room. If you have your heart set on a weekend, book early rather than hoping.

Key takeaway: The two things that decide how smoothly your Christmas party goes are booking the date early and confirming your final numbers on time. Sort those and everything else is easy.

Nail down your numbers

An honest headcount is the backbone of any booking. You do not need the exact figure on day one, but you do need a realistic estimate and a date by which you will confirm.

Send one quick message to your group asking for a firm yes or no. "Maybes" are the enemy of good planning. It is far kinder to the venue, and to your own stress levels, to give a solid number a week or two ahead than to guess and leave gaps.

Budget per head

Have a rough idea of what each person is comfortable spending. That keeps the menu choice easy and avoids awkward conversations on the night. Take a look at our menu so everyone knows what to expect, from piri piri chicken and ribs to handmade burgers and seafood.

Decide on the style of the evening

Do you want a sit-down meal where everyone orders their own main, or a sharing-style spread that gets the whole table stuck in together? Both work beautifully for Christmas, and the right choice depends on your group.

Seated meal

A seated meal suits colleagues who do not know each other well or a group that likes a bit of structure. Everyone picks their favourite, and the charcoal grill does the rest.

Sharing feast

A sharing feast is brilliant for a lively, sociable crowd. Platters of chicken, wings and sides land in the middle and the chatter flows. If that sounds like your lot, our post on bespoke buffet ideas for group events is worth a read before you decide.

Gather dietary needs early

This is the step most people forget until the last minute, and it causes the most faff. When you collect names, ask the same breath about allergies, vegetarians, vegans and anyone who simply will not touch spice.

The good news: a Portuguese charcoal grill is naturally generous here. There is grilled chicken in every heat level from plain to properly fiery, plus salads, halloumi and plenty of sides. Tell us what your group needs when you book and we will make sure nobody is left picking at a side plate.

Sort the money side before the day

Nothing dampens a great night like a muddled bill. Agree upfront how you are splitting it: one person settling and collecting afterwards, or everyone paying their own way. Have that conversation with your group, not at the table at the end of the evening.

Deposits and confirmations

Most venues, us included, ask for a deposit to secure a larger festive booking. That is normal and it protects your slot. Note down any deadline for final numbers or pre-orders so it does not catch you out. A quick diary reminder saves a scramble later.

Think about drinks and timing

Decide roughly when you want to arrive and how long you would like the table. A clear start time keeps stragglers in check and means the kitchen can pace your food properly.

On drinks, it helps to know whether you want to keep a tab, order rounds or stick to soft drinks for the drivers. We mix proper cocktails alongside the food, so it is worth building a little time in for a drink before the mains land. Ask us about Amigo Hour when you enquire.

Consider whether you want the space to yourselves

For bigger groups or a company do, a private area changes the whole feel of the night. You get your own space, your own music level and no worrying about other tables. If that appeals, our function room is built for exactly this, and you can see the options on our Christmas parties page.

Smaller groups rarely need exclusivity, but it is worth asking the question early so you are not disappointed if demand is high.

Bring the whole thing together

Here is the short version to screenshot:

  • Agree a date, plus a backup
  • Get a realistic headcount and a confirm-by date
  • Choose seated or sharing style
  • Collect dietary needs with the names
  • Settle how the bill is split
  • Note the deposit and any pre-order deadline
  • Decide on arrival time and drinks
  • Ask about private space if your group is large

Tick those off and you are genuinely done. The rest is just turning up hungry.

Why Diego's makes festive easy

We have been doing Southampton Christmas parties since 2007, and our team on Bedford Place knows how to look after a group. The charcoal grill, the 24-hour marinated piri piri chicken, the ribs and wings, the cocktails: it all adds up to a warm, generous night that feels properly festive without the fuss.

Tell us your numbers and your plan, and we will handle the detail so you can enjoy your own party.
