We host birthdays every single week: 18ths, 30ths, 50ths, 70ths and everything in between. So we've seen what makes a party fly and what makes an organiser's life miserable. Here's the honest guide we'd give a friend planning a birthday in Southampton.

Start with the headcount, not the venue

Everything follows from one number: how many people are actually coming. Not invited, coming. As a rule of thumb, around two thirds of a casual invite list shows up.

Once you have the number, the venue question mostly answers itself:

  • Up to 25 guests: a long table in a good restaurant. Zero hire cost, all the atmosphere.
  • 25 to 40 guests: you want a private room. Your own space, your own music, no strangers at the next table. Our Fiesta Room seats exactly this.
  • 40 to 60 guests: exclusive hire territory. Take over a whole venue for the night.
  • More than 60: you're into function halls, and honestly, at that point you're running an event, not enjoying a birthday.

Food: sharing beats plating

The single biggest upgrade you can make to a birthday is switching from individual plated meals to sharing food. Platters down the middle of the table get people talking, passing, arguing over the last wing. It also quietly solves the "what did you order?" admin: nobody has to commit to a main course three weeks in advance.

It's why Portuguese rotisserie cooking works so well for parties: whole chickens, wings by the tray, picanha sliced for the table. Built for a crowd by design. If you'd rather graze than sit, a bespoke buffet does the same job standing up.

The questions to ask any venue

Before you put a deposit down anywhere in Southampton, ask these five:

  1. Is there a room hire fee, or a minimum spend? Minimum spend is usually the better deal: the money goes on food and drink instead of the room.
  2. Can we decorate? Balloons, banners, light-up numbers. Some venues say no. (We say yes, and we'll help you set up.)
  3. Can we bring a cake, and is there a cake fee? "Cakeage" is real and it's daft. Check.
  4. What happens with dietaries? A good venue plans vegetarian, vegan and gluten free into the menu from the start, not as an afterthought.
  5. Who runs the night? The difference between a great party and a stressful one is whether someone on the venue's side owns your evening. Ask if you'll have a dedicated server.

The birthday-person rule
